Expense Guidelines

  • An expense reimbursement form will be provided at the event for your approved out-of-pocket business expenses. See below for details of approved, reimbursable business expenses.
  • Scanned copies of original, itemized receipts are required for all reimbursements.
  • Expenses for guests/spouses are not reimbursable.
  • Please note that our meetings and meal functions are intended for financial professionals. Your guests/spouses unfortunately cannot participate in these functions.

REIMBURSABLE/COVERED/CANCELLATION EXPENSES POLICIES

Please note that your broker-dealer or firm’s guidelines may not allow Eventide to reimburse or cover all expenses as outlined here. Please refer to your broker-dealer or firm’s travel expense guidelines policy.

AIRFARE

Eventide will pay for your roundtrip airfare to attend the event on the scheduled dates, and one piece of standard checked baggage. An Eventide client support representative will contact you to arrange your travel. Airfare will be paid for by Eventide directly to the airline; we will not reimburse airfare to you or your broker-dealer. Checked bag allowance will be reimbursable following the above reimbursement guidelines.
Extended stays are permitted only if airfare is at or below average prices to attend the event on the scheduled dates as quoted by the Eventide client support representative, and you pay for any related expenses in connection with the extended stay per your broker-dealer or firm’s Cash and Non-Cash Compensation and Reimbursement policies.

You will be responsible for additional costs related to any flight changes or cancellations after ticketing.

GROUND TRANSPORTATION

Eventide has arranged for ground transportation service for you in the host city, from the airport to the event and from the event back to the airport. Other use of ground transportation while in the host city will be at your discretion and will not be reimbursed.

Expenses for taxi, Uber or Lyft, or shuttle to departure airport are reimbursable following the above reimbursement guidelines.

If you elect to drive your personal vehicle to the departure airport, mileage is reimbursable at the then-current IRS standard business mileage rate, up a maximum of $50 each way.

Parking expenses at the departure airport are also reimbursable following the above expense reimbursement guidelines; however, parking expenses incurred due to extended stay will not be reimbursed.

If you elect to drive to the event, rather than fly, Eventide will reimburse you for mileage at the then-current IRS standard business mileage rate up to the average airfare amount as quoted by the Eventide client support representative. If you elect to drive, rather than fly, parking at the event hotel is also reimbursable following the above expense reimbursement guidelines.

LODGING

Your lodging expenses in the host hotel during the event will be paid for by Eventide. Room rate, tax, access to internet, fitness center, and room cleaning gratuities will be billed directly to Eventide. No room charges, minibar or in-room snack bar, spa, gift shop, or phone charges will be paid for or reimbursed. In the event of a no-show or cancellation, any fees incurred will be your responsibility.

MEALS

Breakfast, lunch, and dinner meals will be provided by Eventide during the event schedule. Reasonable travel meals incurred (excluding extended stays) will be reimbursable, according to the expense reimbursement guidelines above.

GRATUITIES

Reasonable gratuities for approved meals and ground transportation will be reimbursable following the above expense reimbursement guidelines. Other gratuities are at your discretion and will not be reimbursed.
